Job Description

A vital part of the Senior Management team, the Controller will report to the Executive Director, work in close partnership with management, and oversee the accounting department.  The employee in this position will be a detail-oriented team contributor with strong enthusiasm and a passion for learning who is able to excel with minimal supervision.  In addition to possessing excellent verbal and written communication skills, the employee should have excellent listening comprehension, including the ability to understand complex written and verbal instruction.  Because of the nature of the information with which the employee will be working, this position does require a high degree of confidentiality.  This employee will work directly under the Executive Director, but will also perform duties for the Management Team.  Clearly understanding the agency mission, goals, and direction as set by the Board of Directors is essential.  Developing a clear understanding of the agency philosophy and the directions of the Executive Director and supporting his/her direction is required.  The employee must function well in a sometimes intense environment where critical management decisions are made on an ongoing basis and be able to interact in this intense environment in a courteous and professional manner with tact and poise.  The employee will need to perform a variety of important sometimes urgent, confidential and complex tasks with constantly changing priorities. Financial system/Financial analysis -
  • Code, enter and post daily deposits into General Ledger
  • Approve invoices for payment & review account codes. 
  • Sign processed checks for payment.
  • Review & post accounts payable journal entries to general ledger
  • Review & post payroll entries to general ledger.
  • Record Insurance and other 3rd party revenue, and determine AR allowances and write offs.
  • Monitor collection of required client financial information
  • Reconcile all bank statements to the general ledger monthly.
  • Calculate, prepare and mail monthly vouchers on grants/contracts.
  • Record adjusting entries to maintain accrual basis of accounting.
  • Reconcile balance sheet accounts monthly.
  • Prepare and analyze monthly financial statements by department and compare to budget
  • Prepare Annual Fiscal and Productivity budget.
  • Determine basis for cost allocations among programs.
 
Information system -
  • Assess needs for software which will enable the organization to have streamlined business processes with efficient and productive administrative functions. 
  • Assist in system development prioritization.
  • Monitor information system development, implementation and maintenance.
  • Review monthly contract statistics.
  • Monitor maintenance of hardware & software
  • Monitor computer training/support to staff members
Other duties- 
·       Compile and maintain sliding fee schedule for client billing in accordance with state and federal 501(c)3 status.
·       Assist in strategic planning with analysis of revenue streams, costs, staff productivity, programs, and geographic locations to recommend courses for growth and refinement.
·       Management of all financial audits & collaboration for tax return completion.
·       Maintain adequate internal controls to safeguard the organizations assets
·       Make effective presentations to the Finance Committee, Executive Committee, Full Board, and Management.
·       Ensure the organization is in compliance with government and other accounting regulations.
·       Review and update accounting policies and procedures as needed.
Develop effective working relationships with management, employees, board members, and contract administrators. 
 
Supervisory -
  • Supervises the Support Staff Supervisor and the accounting department staff.
  • Effectively communicate to program directors and department supervisors the budgets and actual results of relevant programs. 
  • Assist directors and supervisors in understanding cost management, revenue sources and resource utilization of their programs.

Skills & Experience

Education and/or experience -
  • BA/BS degree in Accounting or Finance. 
  • Masters in business field and/or CPA is preferred. 
  • Comprehensive knowledge of Generally Accepted Accounting Principles as well as analytical experience. 
  • Hands-on computer experience, with experience using integrated business management systems, and basic tools (spreadsheet) with a high degree of proficiency is imperative.
  • Excellent interpersonal communication and team building skills (both verbal and written) are essential. 
Language abilities: (standard text as follows)
  • Ability to communicate effectively, regularly, and fluently in English; bilingual (English/Spanish) abilities are preferred but not required.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals,
  • Ability to write routine reports and correspondence, and
  • Ability to speak effectively before groups of clients or agency employees.
