Essential duties and responsibilities of the position:
  • Responsible for ensuring the data contained in the Electronic Health Record (HER) is accurate and free of errors to ensure data tracking and integrity.
  • Reviews various error reports and partners with needed parties to correct and submit clean data; makes corrections directly into the EHR where possible.
  • Monitors reports to ensure the errors are being corrected and updates employees on their error correction progress.
  • Corrects all rejected records (IBHRS error report) from our data submission to the state.
  • Complete IBHRS submissions weekly.
  • Tracks common errors and provides training to staff in order to eliminate the errors in the future.
  • Provides supervisors an EHR training as part of their new employee training; trains supervisors on errors within their department.
  • Provides data integrity to the billing processes through review of all clinical data being submitted to billing for processing claims.
  • Creates and updates EHR forms; ensures that billing and clinical functions/needs are met by forms. 
  • Reviews updates from EHR to identify new features; rolls out updates and educates staff on how to utilize updates.
  • Responsible for creating, running, and analyzing reports related to data integrity, including but not limited to:
    • Weekly residential data
    • Weekly errors report
    • Appointment Note Exception List
    • Missing Diagnosis report
    • Clients Without Treatment Plan report
    • Clients Not Yet Admitted report
    • Court Order Reports
    • Caseload Clean up Report
    • Scheduler Activity Type Clean up Report
    • Bed Day Integrity Report
  • Conducts testing of new versions and updates of billing and electronic health system software as required.
  • Assists Quality Assurance Coordinator in automation of Quality Assurance reporting including but not limited to weekly error report reporting, monthly QA reporting, and portions of the agency’s annual report for stakeholders.
  • Serves as the agency’s IBHRS Administrator – includes uploading data to Iowa Behavioral Health Reporting System as well as managing user accounts within that system.
  • Assists the Clinical Director with clinical chart review automation.
  • Other duties as assigned.
 
Education and Experience -
  • Minimum of a two year degree or demonstrated equivalent experience is required. A Bachelor’s degree from an accredited university or college in Mathematics, Statistics, Computer Science, Information Management, Accounting, Finance or Economics is preferred.
  • Knowledge of insurance, sliding fee scales, and insurance billing is preferred. 
  • Experience with electronic health record systems is preferred. 
  • Knowledge of programming languages such as SQL, R, or Python is preferred.

  • Knowledge of IDPH, DHS, and CARF accreditation/licensure standards as they apply to the position.
 
Computer skills –
  • A high level of computer skills is required.
  • Must be able to use the following programs with proficiency:
  • web-based time-keeping systems,
  • internet software,
  • Microsoft Suite
  • Electronic Health Records

  • The staff member is regularly required to sit and talk or hear.
  • The staff member is occasionally required to stand and walk.
  • The staff member may occasionally lift and/or move up to 15 pounds.

  • The staff member must have the ability to move within and between agency buildings, standing, sitting, lifting and manipulating objects typically found in this work environment.
  • The ability to maintain the confidentiality of client information as mandated by various federal and state laws.
  • The staff member may be required to work at any agency building as needed/directed and be responsible for her/his own transportation.
  • The ability to comply with the agency’s infection control policies/ procedures including the Exposure Control plan which reflects OSHA Blood borne pathogens standard to ensure a safe work environment for self and others.
  • The staff member may be required to work extended periods of time at a video display terminal (VDT).
  • The staff member must be able to work in a fast-paced environment with demonstrated ability to juggle and prioritize multiple, competing tasks and demands and to seek supervisory assistance as appropriate.
