Job Description

The purpose of this position is to provide initial and on-going guidance to each client/consumer regarding the agency’s fees-for-services, third-party-payor resources and requirements, and the client’s/consumer’s arrangements for payment of fees.
The employee in this position will be an enthusiastic, detail-oriented team and individual contributor with a strong passion for learning who is able to excel with minimal supervision.  In addition to possessing excellent verbal and written communication skills, the employee should have excellent listening comprehension, including the ability to understand complex written and verbal instruction.  Because of the nature of the information with which the employee will be working, this position requires a high degree of confidentiality.  Clearly understanding the agency mission, goals, and direction as set by the Board of Directors is essential.  Developing a clear understanding of the agency philosophy, the directions of the employee’s supervisor, and supporting his/her direction is required.  The employee must function well in a sometimes stressful environment where critical management decisions are made on an on-going basis and be able to interact in this sometimes intense work environment in a courteous, professional manner with tact and poise.  The employee will need to perform a variety of important sometimes urgent, confidential, and complex tasks with constantly changing priorities. Daily client/consumer tracking:
  • Review appointment report to be sure each consumer is properly authorized,
  • Verify Title 19 consumer eligibility,
  • Verify County eligibility; check sessions remaining, effective date,
  • Verify Insurance eligibility; check sessions remaining, effective date,
  • Alert providers about reauthorizations needed,
  • Route appropriate form(s) to respective providers,
  • Assign deadline for provider action,
  • Process paperwork via mail, fax, internet or phone, and
  • File reauthorization documentation in consumer file.
Other skills and abilities:
  • Ability to establish good working relationships with clients and staff.
  • Ability to analyze problems presented, to bring agency/community resources to bear within policies and regulations, and to develop and implement effective courses of action.
  • Ability to prepare clear and concise case records and to keep other relevant records.
  • Ability to prepare regular and special written and oral reports.
  • Ability to manage multiple tasks at the same time.
  • Develop, implement, and evaluate Quality Assurance practices within the department.
 

Skills & Experience

Computer skills -
  • electronic medical records system,
  • web-based time-keeping systems,
  • internet software,
  • spreadsheet software, and
  • word-processing software.
Education and/or experience:
  • Minimum two year degree or demonstrated equivalent experience.
Job knowledge:
  • Knowledge of 42CFR and how it applies to Community & Family Resources.
  • Knowledge of HIPAA rules and regulations.
  • Knowledge of IDPH licensure standards.
  • Familiar with grant and contract administration.
  • Familiar with local resources.
  • Proficient in computer operation, including Word and Excel.
Language ability:
  • Ability to communicate effectively, regularly, and fluently in English; bilingual (English/Spanish) abilities are preferred but not required.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals,
  • Ability to write routine reports and correspondence, and
  • Ability to speak effectively before groups of clients or agency employees.
