Job Description

This position schedules appointments, gives information to callers, receives clients, determines their nature of business, and directs clients to appropriate personnel. The position also assists personnel with secretarial work.  Other duties may be assigned, and the employer reserves the right to change or reassign job duties or combine positions at any time. This position works Monday, Thursday, and Friday 8a-5p, Wednesdays 9:30a-6:30pm, and 8a-2:30pm on Saturday. The day off during the week however may change.

The employee in this position will be an enthusiastic, detail-oriented individual and team contributor, who has a passion for learning, and is able to excel with minimal supervision.  In addition to possessing excellent verbal and written communication skills, the employee should have excellent listening comprehension, including the ability to understand complex written and verbal instruction.  Because of the nature of the information with which the employee will be working, this position does require a high degree of confidentiality.  This employee will work directly under the Support Staff Supervisor, but will also perform duties for the Management Team.  Clearly understanding the agency mission, goals, and direction as set by the Board of Directors is essential.  Developing a clear understanding of the agency philosophy and the directions of the Support Staff Supervisor and supporting his/her direction is required.  The employee must function well in a sometimes emotionally intense environment where critical management decisions are made on an ongoing basis and be able to interact in this environment in a courteous and professional manner with tact and poise.  The employee will need to perform a variety of important, sometimes urgent, confidential and complex tasks with constantly changing priorities.
Clerical –
  • Files correspondence and other records in client files, giving detailed attention to progress notes being in chronological order and other documents in correct file order.
  • Prepares/fills out Admission Placement Screening Form with necessary information, using the documentation in the client’s file.
  • Compiles documents/forms necessary for preparing group packets (folders given to clients when they first enter treatment)/client intake files.
  • Types memos, correspondence, reports, and other documents as needed.
  • Maintains outer office appearance, including provisions for client and staff amenities (i.e. pamphlets).
  • Reads and routes incoming mail.
  • Makes copies of correspondence or other printed matter as needed.
  • Performs other clerical duties as needed and delegated.
  • Accepts client payments and prepares daily bank deposit.
  • Alerts Office Coordinators of necessity to orders office supplies
Client service -
  • Obtains caller’s name and arranges for appointment with counselor.
  • Completes Demographic form in Anasazi.
  • Greets visitors, ascertains nature of business, and conducts visitors to counselors or appropriate person.
  • Directs caller to destination and records name, time of call, nature of business, and person called upon.
  • Makes future appointments and answers inquiries.

Skills & Experience

Education and/or experience -
  • One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.
Language skills –
  • Ability to communicate effectively, regularly, and fluently in English; bilingual (English/Spanish) abilities are preferred but not required.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Other skills and abilities -
  • Ability to learn quickly and to adapt to new situations.
  • Ability to maintain the confidentiality of clients.
  • Computer experience necessary.
